GOVERNMENT SHUTDOWN: The ESIP Winter Meeting will go on as planned even if the current government shutdown continues. We hope that you will still be able to join us in-person. If you cannot, all meeting events will be streamed for remote participation and recorded for viewing at a later time, so we encourage you to take part still.

If you have a reservation at the Bethesda North Marriott that you need to cancel, please do so at least 72 hours prior to your intended arrival time.

Updated refund policy for federal civil servants only: Refunds will not be given after Monday, January 14. if you must cancel your registration, refunds will be issued less a $50 processing fee. If you have any questions or concerns, please do not hesitate to reach out to staff@esipfed.org.

Registration is $415 for members and $550 for non-members. After December 21st, registration is $515 for members and $650 for non-members. The student registration fee is $150. A special one-day rate is available for $200. A full refund will be given until January 1.

Registration Desk Hours
The registration desk will be located on the lower level of the hotel close to the escalators connecting the upper and lower levels and will be open at the following times:

Monday (1/14): 12:00 pm - 6:00 pm
Tuesday (1/15): 7:30 am - 5:00 pm
Wednesday (1/16): 7:30 am - 5:00 pm
Thursday (1/17): 8:00 am - 1:00 pm

Poster Reception
Wednesday January 16th, 17:30 - 20:00 (Salon A-C Foyer)

  • Posters should be no larger than 3 ft tall x 4 ft wide.

  • Posters should be put up by 8:30 am on Wednesday January 16th and can remain up until Thursday January 17th.

Presentations
If you are presenting during the conference, you should already have received presentation guidelines from ESIP Staff or from your Breakout Session Lead. Please keep in mind the following:

  • There will be a MacBook at the podium in each session room for presenting.

  • Screens are 4:3 ratio.

  • Please plan to arrive at least 15 minutes before the session begins to upload your slides. Someone will help you upload your slides to the desktop “Presentations” folder. All sessions are preceded by lunch or a break, so there should not be any issues with arriving early.

  • If you need to use your own laptop to present (discouraged), please tell the moderator before the session begins. You can sign in on your computer to the GoToMeeting session running in that room and share your screen as a remote participant.

Preserving Meeting Content
We ask that posters and presentations are made available by the authors at https://esip.figshare.com/ as soon as possible. You can find information on how to do this at https://www.esipfed.org/figshare.

By uploading your presentation, you will obtain a digital object identifier (DOI) that you can use to cite and share your work with others. Of course it’s always important to share and get credit for your work, but particularly in this government shutdown time, by uploading your content to the ESIP Figshare Portal, you are helping those who cannot attend the ESIP Meeting in person see the meeting content and engage with you.

If you have questions about uploading your content, contact staff@esipfed.org OR you can also ask for assistance at the registration desk during meeting hours.

Remote Participation
As in past years, remote participation will be enabled in all session rooms. To join a session remotely, navigate to that session in the online schedule at https://2019esipwintermeeting.sched.com/. Remote connection info should be provided at the bottom of the session description. Live streaming will also be available for the plenary sessions. Details are also provided in session descriptions.

Transport & Parking
Parking is available at the Marriott Bethesda North. A limited number of discounted parking passes can be obtained at the registration desk. For your information, the Marriott Bethesda North is a 2 minute walk from the White Flint Metro Station on the Red Line.

Meals
Breakfast and lunch will be provided Tuesday (1/15) - Thursday (1/17). Breakfast will begin 1 hour before the meeting start time on each day.
